Month-end close

Month-end close, explained: what a clean close pack contains

Short answer: a clean close pack is the monthly evidence that the books are right: reconciled bank and card accounts, supported accruals and adjustments, reviewed AP/AR aging, and a tied-out trial balance — delivered days after month-end, not weeks.

"The books are closed" should mean something specific. A close pack is the package of schedules and reconciliations that proves it — the thing a reviewer, a lender, or a tax preparer can open and trust. Here's what belongs inside.

1. Bank and credit-card reconciliations

Every cash account reconciled to its statement, every difference explained and documented. Uncleared items get aged and followed up — a reconciling item older than 60 days is a question, not a decoration.

2. Accruals and adjusting entries

Revenue and expenses in the right period: accrued payroll, deferred revenue amortization, prepaid releases, depreciation. Each adjustment carries support — an invoice, a schedule, a calculation — so the reviewer never has to ask "why is this here?"

3. AP/AR aging review

Bills and invoices aged, old items investigated, bad-debt and write-off candidates flagged with recommendations. The aging should tell a story about collectability and payables discipline, not just list numbers.

4. Key balance-sheet tie-outs

Payroll liabilities to filings, loan balances to statements, intercompany balances agreed both sides, fixed-asset rollforward. The trial balance balances (obviously) — but more importantly, the big balances are proven, not just plugged.

5. A summary a non-accountant can read

One page up front: what moved this month, what needs the owner's attention, what's outstanding. The partner reviewing 40 clients at tax time will bless you for this.

What "done by day 5" requires from you

Speed is a two-way street. A day-5 close needs: bank feeds connected and read-only accessible, prior-month questions answered within 48 hours, and a standing 30-minute review call in week one. Give me that, and the pack lands on day 5. Withhold it, and we're both waiting on each other — honestly labeled.

Quick answers

How long should a month-end close take?

For a small business with clean feeds: 3–5 business days after month-end. If yours takes three weeks, the problem is usually missing information flow, not headcount.

What's the difference between a close pack and financial statements?

The statements are the output; the close pack is the evidence behind them. Statements say what happened. The pack proves it's right.

Can a close pack be done without year-end cleanup?

It can be done, but the first pack after messy books will surface the mess — that's the point. Cleanup first, then the monthly rhythm holds.
